Booking and Reservation
Expedition Kilimanjaro, operated by Ramon Stoppelenburg, adheres to the travel terms and conditions set forth by the General Association of Travel Companies (ANVR) in The Netherlands. As your tour operator, Ramon Stoppelenburg facilitates your travel arrangements.
Responsibilities
You are responsible for providing accurate personal information required for reservations, including name, address, date of birth, nationality, etc. It is also your responsibility to ensure possession of valid travel documents (passport, visas, vaccination certificates) as required for your journey. Booking Confirmation
Upon making a reservation, you can generally expect confirmation within two working days.
Itinerary Adjustments
While we strive to adhere to the planned itinerary, factors such as weather conditions, road closures, or equipment issues may necessitate changes. In such cases, we reserve the right to modify the itinerary, accommodations, transport, or excursions while maintaining the overall quality and essence of the expedition.
Cancellation Policy
Cancellation of your expedition booking must be communicated promptly and in writing via email. Cancellation fees apply as follows:
Up to 60 days before departure: 25% of trip price
Between 60 and 30 days before departure: 50% of trip price
Between 30 and 20 days before departure: 75% of trip price
Within 20 days of departure: 100% of trip price
We recommend obtaining cancellation insurance to mitigate financial risk.
Trip Cancellation by Operator
We reserve the right to cancel a trip if circumstances jeopardize safety or compromise the quality of the experience. In such cases, we will inform you promptly with reasons provided. We are not liable for financial losses beyond the trip fare due to unforeseen circumstances like political instability, pandemics, or natural disasters.
Liability
We do not accept liability for personal injury, property damage, or loss regardless of cause. This includes incidents during activities not directly mediated by us.
Price Adjustments
Prices are per person in US dollars and subject to change due to Tanzanian VAT regulations or unforeseen itinerary adjustments. We will inform you promptly of any price changes before departure.
Travel Documents
After full payment, you will receive digital vouchers (PDF format) for hotels and expeditions. It is advisable to carry duplicate copies of these vouchers.
Insurance and Visa
Travel insurance, including coverage for mountain sports, is mandatory. You are responsible for securing necessary visas for Tanzania and any transit visas required.
Emergency Contact
In case of emergencies, contact your insurance provider’s emergency line first. You may also contact us or local operators on-site.
Complaints
Any travel-related complaints must be reported in writing to the local operator at the destination where the issue occurred.
